Job Summary 

Our Company is looking for a reliable and precise professional to join our Accounts Payable team.  This position is responsible for all aspects of Accounts Payable processing.  We are seeking an experienced candidate who can process Accounts Payable, analyze statements and reports, and work with vendors to reconcile and resolve discrepancies.  The Accounts Payable Specialist will also be equipped to contribute to our continuous process improvement efforts.

Essential Job Duties and Responsibilities

  • Perform all aspects of Accounts Payable with multiple systems at high volume
  • Verify documentation to process payment
  • Verify incoming AP batches for accuracy, resolve any errors
  • Perform data entry functions processing AP
  • Ensure policies and procedures are applied to payment processes
  • Perform research and problem solving for vendor account reconciliation
  • Provide reporting to upper management as required
  • Keep AP records on file for easy access by accounting and other personnel
  • Duties related to vendor maintenance
  • Review and process expense reports and ensure the expenses are accurately coded and have sufficient documentation
  • Review, enter and process invoices and ensure the accuracy of amounts and coding
  • Cross train and assist other team members as needed
  • Assist in the development of forms, procedures and work instructions
  • Other duties as assigned

Leadership Responsibilities and Reporting

The Accounts Payable Specialist reports to the Accounts Payable Manager and provides support to the Accounting team.  This position has no direct reports.


  • High School graduate / GED
  • Experience with an organization of equal or greater volume and complexity
  • Computer skills including ability to use software including experience with Excel, Word, Outlook and Adobe Acrobat Pro
  • Experience with Great Plains or similar accounting software
  • Experience with expense reimbursement software like Concur or Expensify a plus
  • Experience with a large purchasing system a plus
  • Strong understanding of the Accounts Payable process
  • Basic math skills, including ability to verify the accuracy of invoice details, calculations and total charges
  • Analytical skills to find disparities in documents and reports

Additional Physical Requirements

  • Must be able to continuously see, view computer monitors, give & receive oral communication
  • Must be able to do repetitive simple grasping, fine manipulation, and pushing & pulling on a frequent basis
  • Must be flexible and willing to work a varied schedule as dictated by the needs of the business
